Account data: Name, email address, and business details provided when signing up or contacting us
Usage data: Information about how you use the FloTize platform, including feature usage and login activity
Client data you upload: Information about your clients that you input or that is imported via email ingestion — including names, email addresses, phone numbers, and correspondence
Email content: Emails processed by the FloTize AI ingestion feature are read and analysed to create workflow requests
Technical data: IP addresses, browser type, and device information collected automatically

To provide and operate the FloTize platform
To process client enquiries via AI email ingestion
To generate AI-powered responses and insights

4. Data storage and security

All data is stored in Microsoft Azure infrastructure in the North Europe (Ireland) region. Data is encrypted at rest and in transit. We use industry-standard security practices and access controls to protect your data.

5. AI processing

FloTize uses Azure OpenAI (GPT-4o) to classify incoming emails, extract information, and generate suggested responses. Email content is processed by Azure OpenAI in accordance with Microsoft's data processing terms. We do not use your data to train AI models.

6. Your rights under GDPR

If you are based in the EU or UK, you have the following rights:

Right to access your personal data
Right to rectify inaccurate data
Right to erasure ("right to be forgotten")
Right to restrict processing
Right to data portability
Right to object to processing

7. Data retention

We retain your account and usage data for as long as your account is active. Client data within the FloTize platform is retained according to the data retention policies you configure within the platform. Upon account cancellation, data is deleted within 90 days unless you request earlier deletion.

FloTize integrates with the following third-party services:

Microsoft Azure — cloud infrastructure and storage
Microsoft Graph API — email integration
Azure OpenAI — AI processing

9. Cookies

The FloTize website uses only essential cookies required for the site to function. We do not use advertising or tracking cookies.
